The role of Executive Administration Assistant is to provide administrative support to the senior commercial management team (currently 5 senior commercial managers) and executive support for the Site Manager/Global Marketing and Innovation Director, based at Blackley

Responsibilities/ Accountabilities:

  • Provide a fully confidential and comprehensive secretarial and administrative service to senior managers. Ensure job requirements are met, highlight any unexpected issues/concerns and, where possible, resolve issues

  • Manage the Director’s diary, exercising judgment in ensuring that action, as necessary and appropriate, is taken, and making the most effective use of their time

  • Act as point of contact for the Director and senior commercial managers, at all times maintaining a professional approach

  • Provide support on Windows applications – Outlook, Powerpoint, Excel, etc. and help create presentation materials for sales meetings, customer visits and business reviews, ensuring confidential slides are not circulated

  • Organises, manages and supports visitor programmes, customers and international overseas staff, (including senior management from the USA, etc.) to the site, ensuring all business travel requirements (hotel, taxis, etc.) are confirmed.

  • Arrange and organise key meetings, global and customer training events, circulate detailed programs e.g. meetings, transport and accommodation prior to event giving maximum time to make any changes additions required to meet requirements of the teams.

  • Assist onsite management with travel plans as required

  • Manage the office, in respect of meetings locations, IT services and other outside services such as catering for large meetings, hotel assessments/bookings, taxi services, etc

  • Provide cover, when required, for technical Admin Assistant (includes support for technical senior managers).

  • Administrator for SharePoint sites.

  • The position has the potential for the job holder to develop their role further to cover some internal marketing and sales support

Requirements, Education, Skills

  • Minimum GCSE, or equivalent, to include English and Maths

  • IT experience – extensive knowledge of Microsoft Office applications

  • Good communication skills

  • Ability to work on own initiative, demonstrating flexibility and good time management, thoroughness and attention to detail

  • Good planning and organisational skills
