Lubrizol is currently looking for a highly motivated, organized and professional Executive Administrative Assistant who will support the Vice President of Corporate Planning & Strategy, and his team of Directors. The ideal candidate will be a self-starter, have strong critical thinking skills, and is an excellent problem solver. The Role:

  • Full administrative support of the VP of Corporate Strategy and the broader Corporate Strategy team.

  • Communicating on behalf of the VP and direct reports, including composing, editing, managing and documenting correspondence at executive levels.

  • Arrange domestic and international travel for key staff in department as well as visitors.

  • Developing itineraries and agendas and compiling documents for travel related meetings.

  • Management of expense reports across the team.

  • Plan and support small and large group meetings on site and at offsite locations, including arranging all conference room and site details, catering, room setup and managing the agenda. This includes supporting executive council meetings and meetings with external CEOs, investment bankers, and other senior contacts.

  • Hosting on site visitors, this includes setting up logistics, coordinating schedules and welcoming them to the facility.

  • Maintain, update and organize SharePoint sites. This includes but is not limited to tracking documents within SharePoint, managing contract renewals and granting access as needed.

  • Maintain Executive Council website.

  • Participate in staff meetings, including tracking meeting minutes and actions.

  • Coordinate onboarding of new employees including assigning office space, ordering of equipment and supplies, creating first week agendas, and granting all necessary access to websites and databases.

  • creating PowerPoint presentations as needed.

  • Sort and organize incoming mail and meeting requests.

  • Departmental budget tracking.

  • Partnering with other senior and executive admins to help facilitate timely and accurate planning needs.

  • Ad hoc projects as assigned.

  • Other administrative duties as assigned.

Please Meet The Following Skills & Qualifications:

  • 5+ years’ experience working as an Executive Administrative Assistant.

  • Bachelor’s Degree preferred.

  • Experience booking international and domestic travel & coordinating large group meetings.

  • Advanced skills in Microsoft Office (Word, Excel, PowerPoint, SharePoint and Outlook).

  • Must have proven experience developing PowerPoint presentations.

  • Previous expense management experience.

  • Excellent written and verbal communication skills.

  • A high degree of responsiveness and independent judgment is required to plan, prioritize, and organize daily.

  • Proven interpersonal skills to interact with senior executives, internal and external business leaders, vendors and Guests.

  • Demonstrated ability to maintain integrity, credibility, trust and support with senior leadership staff.

  • Ability to shift priorities to respond to change in business requirements and/or deadlines while understanding the priorities of the Corporate Strategy team.

  • Ability to maintain appropriate levels of confidentiality and maturity even in high pressure situations.

  • Proven success at working independently, applying solid judgment, and solving problems as needed.

  • Must be ambitious, and self-motivated to look for new opportunities to support the group while accepting new challenges that may arise.

  • Willingness to ask, “what else can I do” while seeking opportunities to expand the role.
